- Placement: Assigned to a U.S. Immigration Law Firm
- Reports To: CEO / Head of Operations
Position Summary
The Case Coordinator manages immigration matters from intake through case preparation, serving as a key liaison between clients and the legal team. The role involves gathering, organizing, verifying, and maintaining accurate client information while ensuring immigration filings and supporting documentation are complete, accurate, and submitted on time.
Working as an integrated member of a U.S. immigration law firm, the successful candidate will support attorneys, communicate professionally with clients, and contribute to delivering an exceptional client experience in a fast-paced legal environment.

Key Responsibilities
Responsibilities include, but are not limited to:
- Conduct client intakes and maintain accurate records within the Case Management System (CMS).
- Prepare, review, and organize USCIS forms, supporting documentation, and immigration packets.
- Collect, verify, and organize client evidence to ensure complete and accurate case files.
- Identify inconsistencies, missing information, and documentation gaps, escalating issues where appropriate.
- Communicate professionally with clients regarding case updates, document requests, and next steps.
- Coordinate with attorneys and legal teams on Requests for Evidence (RFEs), Notices of Intent to Deny (NOIDs), waivers, and related immigration matters.
- Ensure timely submission of immigration filings and compliance with internal procedures and deadlines.
- Handle confidential client information with integrity and discretion.
- Maintain accurate case records and support continuous improvements in documentation quality and workflow efficiency.
Requirements
Required Skills or Experience
Educational Requirements
- Bachelor’s degree in Communications, Legal Studies, Journalism, Psychology, or a related field.
- Candidates with other educational backgrounds who can demonstrate substantial relevant experience will also be considered.
Relevant Experience
- Minimum of 1–3 years of experience in client communication, interviewing, client services, case management, legal support, or a related role.
- Candidates with a demonstrated portfolio of high-quality written work (published or unpublished) that showcases exceptional communication and documentation skills are encouraged to apply.

The successful candidate should demonstrate:
- Excellent written and spoken English communication skills.
- Strong interpersonal skills, empathy, and the ability to build rapport with clients from diverse backgrounds.
- Exceptional attention to detail and analytical ability.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- High proficiency in Microsoft Office, Google Workspace, Adobe Acrobat, and the ability to learn case management software quickly.
- Ability to handle confidential and sensitive information with integrity and discretion.
- Ability to work independently while collaborating effectively within a fast-paced, deadline-driven legal environment.
- Fluency in Spanish, French, or other languages is an advantage but not required.
