Job Description

  • Location: Lashibi – Accra 
  • Reports To: Managing Director

Job Summary
The Procurement Officer is responsible for managing the sourcing, purchasing and supply of goods and services required for the smooth operation of the company. This role ensures timely procurement of quality materials at competitive prices while maintaining strong supplier relationships and adherence to company procurement procedures.

A key focus of this position is to establish efficient procurement systems, ensure cost-effective purchasing practices, maintain optimal inventory support for operations and minimize supply chain disruptions.

The Procurement Officer works closely with warehouse, production, finance, and operations teams to ensure materials and services are available to support business objectives and operational continuity.

Key Responsibilities
Procurement & Supplier Management

  • Source and procure raw materials, packaging materials, equipment and operational supplies in a timely manner
  • Identify, evaluate, and negotiate with suppliers to secure competitive pricing and favorable terms
  • Build and maintain strong supplier relationships to ensure reliable supply and service quality
  • Prepare and process purchase orders in accordance with company procedures
  • Monitor supplier performance and address issues related to quality, delays, or non-compliance
  • Conduct market research to identify alternative suppliers and cost-saving opportunities

Inventory & Supply Coordination

  • Coordinate closely with warehouse and production teams to maintain appropriate stock levels
  • Monitor inventory requirements and ensure timely replenishment of materials
  • Track orders and ensure timely delivery of procured items
  • Support inventory planning to minimize stock shortages and overstocking
  • Ensure all procured goods meet required specifications and quality standards

Cost Control & Budget Support

  • Support cost management initiatives through effective negotiation and supplier evaluation
  • Compare quotations and prepare procurement analysis reports for management review
  • Monitor procurement expenses and assist in budget control activities
  • Identify opportunities to reduce procurement costs without compromising quality or operational efficiency

Compliance & Documentation

  • Ensure all procurement activities comply with company policies and procurement procedures
  • Maintain accurate procurement records, supplier databases, contracts and purchase documentation
  • Ensure proper fi ling and audit readiness of procurement documents
  • Verify invoices, delivery notes and supporting documentation before submission to finance
  • Support compliance with food safety, quality and regulatory requirements where applicable

Reporting & Process Improvement

  • Prepare regular procurement reports, including supplier performance, spending analysis and order status updates
  • Monitor procurement KPIs and identify areas for operational improvement
  • Recommend and implement systems or process improvements to enhance procurement efficiency
  • Support continuous improvement initiatives aligned with company operational goals

Requirements

Required Skills or Experience

Qualifications

  • Bachelor’s degree in Procurement & Supply Chain Management, Logistics, Business Administration, or a related fi eld
  • Minimum of 2–3 years’ experience in procurement or supply chain operations, preferably in FMCG or food manufacturing
  • Strong understanding of procurement processes, supplier management, and inventory coordination

  • Good analytical and problem-solving abilities
  • Ability to work under pressure and meet deadlines
  • Strong organizational and record-keeping skills
  • Proficiency in Microsoft Excel and procurement/reporting tools
  • Knowledge of supplier evaluation and contract management
  • Proactive mindset with a focus on efficiency, accountability and continuous improvement.
